Request for Proposal: Designing Services, Media Visibility Materials and Social Media Organizers for the Change Day Initiative

Background

Due to the success, growing, and increasingly focused past 10 Change Day initiatives, HCAC will initiate its eleventh Change Day activity, with a focus on Improving Diagnosis for Patient Safety! On the 18th of September 2024, which coincides with The World Patient Safety Day launched by WHO.

As part of HCAC’s “Change Day” communications works, we publish a number of communications materials and knowledge products.

Preparation for these publications involves a professional layout design, content generation, proof reading, analysis, graphic designs, illustration, managing media relations, photography and videography.

To ensure that the publications are designed and printed on time, HCAC is seeking professional companies to provide high quality layout/design services.

 

Objectives:

The goal of the 2024 Change Day is to increase public awareness and engagement amongst healthcare institutions, health care providers, as well as patients on the importance of patient safety culture and to highlight its effect on the health care journey within institutions, thus helping patients become more aware and engaged in their own care.

Participation in 2024 Change Day will be in the form of pledges from all of the health sector workers, who will then put it into effect on the day of the event.

This year, Change Day will focus exclusively on Improving Diagnosis for Patient Safety for the following reasons:

  1. Raise national awareness of errors in diagnosis contributing to patient harm.
  2. Emphasize the pivotal role of correct, timely and safe diagnosis in improving patient safety.
  3. Give prominence to diagnostic safety in patient safety policy and clinical practice at all levels of health care.
  4. Foster collaboration among policy-makers, health care leaders, health workers, patient organizations, and other stakeholders in advancing correct, timely and safe diagnosis.
  5. Empower patients and families to actively engage with health workers and health care leaders to improve diagnostic processes.

 

HCAC is looking for a professional layout designing company in Short-Term Agreement to provide high quality design service for its publications. Under the overall supervision and guidance of the Communications Unit, the company will provide a professional and high-quality print layout design of publications and others mentioned in the list below based on the contents given by HCAC.

Please provide a break down prices for the following:

  1. Design anything related to the event such as: (Website sliders and banners, logo, Facebook profile picture + cover, 20-30 social media designs, Roll ups, Flyers, Pins, Posters, Balloons, etc.).
  2. Create an awareness video about the campaign (60-120) seconds.
  3. Moderate our Facebook page during the entire initiative (1-Aug-2024 to 25-Sep-2024), with full day coverage (from 8:30 am until 10:00 pm) on Change Day 18 September 2024
  4. Podcast
  5. Content creation: creative & engaging
  6. Photographer for 4 days – 2 hours per day
  7. Manage media relations with TV and radio to provide coverage before, during, and after the Change Day initiative.
  8. Final report design

 

Notes:

  • On-time delivery is crucial as well as responsiveness and flexibility during the entire project
  • Will have to share draft design, solicit comments and incorporate them during the process of finalizing the reports. This may involve several back and forth between HCAC and the designer.
  • Deadline for receiving the Proposals: July 4th, 2024
  • VALIDITY OF THE OFFER: Your Proposal must be valid for a period of 150 days from the Proposal’s submission deadline.

 

Skills required:

  1. Offeror shall have at least 5 years of experience of print and layout design of web contents, books and other publications.
  2. Offeror shall have prior experience of work with international as well as national organizations.
